Job Opportunity: Clerical Assistant (Community Jobs Scotland)
We’re recruiting for a Clerical Assistant to join our team through the Community Jobs Scotland programme. Community Jobs Scotland (CJS) creates work opportunities for young unemployed people (16-29) within voluntary sector organisations throughout Scotland.
We’re looking for a Clerical Assistant to support our team. You will be working in a friendly, dynamic front of house setting and should enjoy completing a range of administrative tasks along with welcoming guests into the building
Hours: 25 hours a week (Monday – Friday 12pm – 5pm)
Salary: £9/hour

Specific responsibilities:
- To work as part of Greener Kirkcaldy’s ‘Front of House’ team:
- To maintain a welcoming, informative space for visitors
- To act as a first point of contact for members of the public
- To offer information and sign-posting to Greener Kirkcaldy’s and others’ services
- To provide excellent customer service, engaging with members of the public in a positive and constructive way and ensure their needs are met
- Deal with telephone and email enquiries from the general public, statutory and voluntary agencies
- Assist the Admin team as required
- Collecting information and updating databases
- Support the organisation to keep paperwork up to date, and to adhere to Greener Kirkcaldy’s quality management systems
- Assist with the arrangement of events and meetings
General responsibilities:
- To work as part of the Greener Kirkcaldy team to promote and encourage understanding of environmental issues in the local area
- To comply fully with the organisation’s ethos, policies and procedures and relevant legislation
- To ensure the building is run in an environmentally friendly way
- To undertake other duties in line with the job purpose
Person specification
Essential:
- Good communication skills using a variety of methods (such as written, spoken, email)
- Good computer skills
- Ability to balance and prioritise a varied workload
- Flexibility and the ability to adapt according to the needs of the project
- Initiative and self-motivation to complete tasks
- Excellent attention to detail
- Commitment to quality and high standards of customer care
- A positive and enthusiastic attitude
- A commitment to being environmentally friendly
- Willingness to participate in training provided by Greener Kirkcaldy
Desirable:
- Previous experience of working in a busy environment
- Proven ability to use a range of Microsoft packages and Gmail applications
- Experience of working/volunteering in a voluntary organisation
